Setting Up Voicemail using Zoom Website
Adding a Voicemail Greeting
- Go to http://johncarrolluniversity.zoom.us
- On the left-hand navigation, click on Phone
- Scroll down to the section titled "Call Handling", that section starts with "Business Hours", scroll until you find the sub-section titled "Greetings & Leave voicemail instructions"
- Click on Edit, then Add Audio
- A new window should pop up, you will see three options across the top: Text to Speech, Upload, & Record by Computer
- Text to Speech: Allows you to type out your Voicemail Message and have an AI voice speak it
- Upload: allows you to record a message using another voice recorder and upload the audio file
- Record by Computer: Allows you to record your message using a microphone
- Once your message is saved, return to the "Greetings & Leave voicemail instructions" section
- Click Edit again, then click Choose from Asset Library
- Select the audio file you wish to use and click Save
Text to Speech
- In the new window, make sure you are on the Text to Speech
- Complete the Asset Name field, this is the file name for your message
- Select Voicemail Greeting from the drop down list
- Language will default to American English
- Select the AI voice option you like best.
- In the Message to Play field, type your message.
- Once you start typing, a "Play" icon will appear. It will play your typed text in the voice you selected.
- You can change the voice option and hit play again to hear the other options.
- Select if you want this audio added to your personal list or sent to the public list (available to all JCU Phone users)
- Finally, click Save
Upload
- In the new window, make sure you are on the Upload
- Complete the Asset Name field, this is the file name for your message
- Select Voicemail Greeting from the drop down list
- Language will default to American English
- Click the Upload button
- Browse your computer for the audio file you previously recorded
- Select if you want this audio added to your personal list or sent to the public list (available to all JCU Phone users)
- Finally, click Save
Record by Computer
- In the new window, make sure you are on the Record by Computer
- Complete the Asset Name field, this is the file name for your message
- Select Voicemail Greeting from the drop down list
- The language will default to American English
- In the "Record Audio" section, click on the red circle to begin recording
- Before you begin, make sure that you have a microphone (built-in or connected) to use for recording.
- The first time you do this your browser should request permission to use your Mic, click Allow
- Click the Stop icon to end your recording
- Click the Play icon to listen to your recording
- If you don't like that recording, click Record Again
- Select if you want this audio added to your personal list or sent to the public list (available to all JCU Phone users)
- Finally, click Save
Setting up Closed Message
As part of "Call Handling" you can set up your office hours or the times of day you accept calls on your phone. As part of the feature, you can set a separate message to play when someone calls outside of your hours.
- Go to http://johncarrolluniversity.zoom.us
- On the left-hand navigation, click on Phone
- Scroll down to the section titled "Call Handling", scroll down to the second section "Closed Hours"
- Scroll until you find the sub-section titled "Greetings & Leave voicemail instructions"
- Click on Edit, then Add Audio
- A new window should pop up, you will see three options across the top: Text to Speech, Upload, & Record by Computer
- Text to Speech: Allows you to type out your Voicemail Message and have an AI voice speak it
- Upload: allows you to record a message using another voice recorder and upload the audio file
- Record by Computer: Allows you to record your message using a microphone
- Once your message is saved, return to the "Greetings & Leave voicemail instructions" section

Setting Up Voicemail Using a Desk Phone
If you have a desk phone please follow these steps to set up your voicemail greeting.
Note: If you have a desk phone you can still follow the process mentioned above.
- Dial86 or press the voicemail icon () on your desk phone or Zoom Phone.
- If you press the voicemail icon:
- Press
- Press the key labeled Connect
- Enter your PIN
- If you haven't set your Zoom Phone PIN yet, go to http://johncarrolluniversity.zoom.us
- On the left-hand navigation, click on Phone
- Scroll down to the section titled "Desk Phone", scroll down to the sub-section "PIN Code"
- Enter your preferred PIN and save
- Follow the voice prompts:
- Press to record your greeting
- Record message, press any key to stop recording
- Press to listen to the message
- Press to save the message or Press to rerecord the message
- Hang Up the Phone, your voicemail is now set
