Using the Geokey Admin Console

Prerequisites 

  • Access in Geokey to add/edit/delete users

This Article Covers:

How to use the Geokey website to add/edit/delete users living in the apartments.  Also covers how to change a users access levels, reset their account, and add their Carroll Card to their profile.  

Searching for a User

  1. Navigate to portal.geokeyaccess.com/login and login using your Geokey credentials
  2. From the Dashboard, go to the left side and select Manage Account--UsersUploaded Image (Thumbnail)
  3. Search users by their role, status, name, phone number, or email addressUploaded Image (Thumbnail)

Adding a User

  1. From the Dashboard, go to the left side and select Manage Account--UsersUploaded Image (Thumbnail)
  2. Search the system first by the user's email address to see if the user is in Geokey
  3. If the user has an account, it will be listed in the search, and skip to step 8Uploaded Image (Thumbnail)
  4. If no results are displayed, the user does not have an account, and a new account needs to be created by selecting Add User in the upper right-hand corner.  Don't clear the Filter (email address you just searched)
  5. Enter the user's Email address, First Name, Last Name, County (of the user's cell number), Phone (user's cell phone number), Account Geokey Role (JCU Resident), and Devices (select the apartment they are living in and if they have garage access)Uploaded Image (Thumbnail)
  6. Click Add User
  7. By creating the user profile, you have added the user to Goekey and they have been sent an email and text with instructions on how to download and set up the Geokey app.  See the related article on how to set up the Geokey app.  

Changing Access Levels

  1. From the Dashboard, go to the left side and select Manage Account--Users and search for the user

  2. Click on the user's name, this will open a window with more details about he user
  3. Under Devices, use the drop-down to check and uncheck the users' access levelsUploaded Image (Thumbnail)
  4. Then click Save Device

Associating a CarrollCard with a User

  1. From the Dashboard, go to the left side and select Manage Account--Users and search for the user

  2. Click on the user's name; this will open a window with more details about the user
  3. From the menu at the bottom of the window, select PDK CredentialsUploaded Image (Thumbnail)
  4. This will open the Credentials window. Click Add Credentials
  5. Under Card Number, click Add New

    1. Enter the user's prox number that was pulled from Lenel or the 5-digit number on the back of the user's CarrollCard above the mag stripe after the *.  Select Add CredentialUploaded Image (Thumbnail)
    2. Under Card Number, pull the menu down and select the prox number you just entered, it should be the last one listed
    3. Under System, select JCU Student Living and under Groups, select 24/7 All Access.  Click Apply Changes

    4. You should now see the user's prox number listed in the Credentials windowUploaded Image (Thumbnail)

Activating & De-Activating Users

  1. From the Dashboard, go to the left side and select Manage Account--Users and search for the user

  2. Click on the user's name; this will open a window with more details about the user
  3. From the menu at the bottom of the window, click Activate User or De-Activate User, and then click Apply Changes

Resending Confirmation and Account Creation Emails

  1. From the Dashboard, go to the left side and select Manage Account--Users and search for the user

  3. Under Additional Settings, you can do the following:
    1. Resend confirmation email and text message
    2. Send password reset email
    3. Send password reset message
