Physical Care
Keep Devices Clean
- Regularly wipe screens, keyboards, and external surfaces using approved electronics-safe cleaning materials.
- Avoid eating or drinking near devices to prevent spills and debris buildup.
- Ensure air vents remain free from dust and obstructions to prevent overheating.
Personalization (Stickers and Decorations)
- Users are allowed to place stickers or light decorative items on their laptops.
- Stickers must not cover:
- Asset tags
- Serial numbers
- Ventilation areas
- Cameras or sensors
- All stickers and adhesives must be completely removed when returning, upgrading, or replacing a device.
- Devices returned with excessive adhesive residue or damage caused by stickers may require cleaning or repair before reassignment.
Handle With Care
- Avoid dropping, bumping, or placing heavy objects on devices.
- Transport laptops using padded bags or cases.
- Do not lift or carry laptops by the screen.
Maintain Proper Ventilation
- Use devices on hard, flat surfaces to allow proper airflow.
- Avoid using laptops on beds, couches, or other soft surfaces that may block ventilation.
Software and Performance Maintenance
Run Updates When Prompted (Automox)
Our organization uses Automox, an automated patch management and security update tool that helps keep computers secure and running efficiently.
- When Automox prompts you to install updates, please complete them as soon as possible.
- Updates often include important security patches, bug fixes, and performance improvements.
- Delaying updates may result in forced installations or automatic restarts that could disrupt your work.
Scheduled Maintenance Windows
- Some updates are scheduled to be installed during designated maintenance windows to reduce interruptions.
- If your device is powered off or disconnected during a maintenance window, updates may install the next time your device is online.
- To help ensure updates install smoothly, users are encouraged to:
- Leave devices powered on and connected to the network when possible.
- Save work frequently, especially near the end of the workday.
Restart Devices Regularly
- Restarting your computer helps complete updates, clears system memory, and improves performance.
- Users are encouraged to restart their devices at least once per week or when prompted.
Manage Storage
- Store files in approved cloud (Google Drive) or network storage (H: Drive) locations when available.
- Remove unnecessary files and unused applications to maintain system efficiency and performance. This can only be permitted and completed by ITS Service Desk Pro Staff.
Safe Usage Practices
Use Secure Networks
- Avoid connecting to unsecured public Wi-Fi networks unless using an approved VPN solution (Global Protect).
- Always verify network names before connecting.
Protect Sensitive Data
- Store confidential or sensitive information only in approved storage locations.
- Follow organizational policies for handling, sharing, and storing data.
Reporting Issues
Please contact the ITS Service Desk immediately if you experience:
- Suspected malware or phishing attempts
- Lost or stolen devices
- Unusual device behavior or performance issues
- Overheating or unexpected shutdowns
- Physical damage to equipment
Prompt reporting helps prevent further issues and protects organizational data.
